Environment
Set up basic environment
Free when requesting a trial version!
After you have requested a trial version, an intake conversation will follow. Based on the information you have provided, we will set up a fully functional i-Reserve environment for you. Functional in the sense that we configure one or several products that you want to offer your customers to book online.
We configure the Online Booking module so that you as the customer can test how to reserve your products online and, if desired, pay online directly. For this so-called reservation dialogue, we apply basic styling in the colors of your website and, of course, with your logo. For online payments we configure the Online Payment module based on Pay.
In the admin section we configure a number of basic items for you, such as the convenient schedule. We also configure a basic workflow so that emails are automatically sent to your customers. In addition, we activate the modules that you have indicated you might want to use.
As soon as your trial environment has been set up, you will receive an email with the URL of your trial environment and the login details for the admin section. You can now get started yourself and freely try things out to determine whether i-Reserve is suitable for you and can take a lot of work off your hands!
Products
Setting up products
0.5 hour per product
The required time per product may decrease when configuring multiple similar products.
A “product” in i-Reserve terms is broad. Simply put, it stands for everything you want to make reservable. Whether that is a meeting room, a boat, a course, a fitness class, a bowling lane, a holiday cottage or camper, everything can be booked with i-Reserve.
To make a product bookable, several components must be configured. These include the required periods (hour, day), prices, participant types (adults, children) and, linked to that, the opening hours and calendars (which period has which prices and opening hour schedules?). In addition, optional extra components can be configured such as options, extra questions and any required resources.
Once a product has been fully configured, we test whether it can be booked correctly and is ready for use.
After you have received a message from us that one or more products have been set up, it is up to you to test them and share your findings with us.
Workflow
Configuring workflow with standard automated emails

The workflow is an important part of the reservation process; it includes the communication by email and/or SMS to your customers.
Setting up the workflow consists of several components:
- Based on the status of a reservation (where the reservation is in the reservation process) we configure which email or SMS should be sent to your customer at which moment.
- We create the necessary templates used for dynamically generating emails (with or without a PDF attachment) and/or SMS messages.
- If necessary, we configure so-called automatic transitions. A transition ensures that a reservation changes status based on a trigger. A trigger is, for example, a payment. The reservation might be on status 20 - Open and then changes to status 30 - Paid.
Naturally, we extensively test whether the configured workflow works as expected.
After you have received a message from us that the workflow has been configured, it is your task to test it and give us your feedback.
Support session
Support session for using and working with i-Reserve
45 minutes to 1 hour per session
The time required depends on the support request; multiple sessions can be scheduled.
A support session is an online session, usually via Google Meet. It allows us to look at your screen and guide you. Usually we let you perform the actions yourself; experience has shown that this works better than us just demonstrating actions.
In a support session we take care of:
- Scheduling the session, including sending the Google Meet link.
- Optional: recording the session and sending the recording to you.
- Creating a summary and, if applicable, an overview of topics to be covered in a next session.
Before the session starts, you create an overview of your open questions and requests. If possible, send this overview to us by email so we can prepare. This way we can use the session time in a constructive and efficient way.
A few tips:
- To be able to hear each other clearly, it is best to join the appointment from a quiet room.
- Are there several people joining? It is pleasant and convenient if each participant has their own laptop.
- Do you like a quick start? Test your audio and video beforehand.
Implementation modules
The i-Reserve reservation system is modular and can be tailored to your needs. You only pay € 12.50 per month for the modules you need, which we think is only fair. Do you want us to implement the module for you? Then you pay a one-time implementation fee based on the required time.
The modules “Online booking” and “Online payment based on Pay” are included in your license.
The expected implementation time is indicated per module.
Online booking
What is included?
In addition, we configure the Online booking module for you so that you, as a customer, can test how to reserve your products online. For this so-called reservation dialogue, we apply basic styling in the colors of your website and, of course, with your logo.
Want to go a step further?
Optionally, you can ask us to fine-tune your reservation dialogue. Custom styling as you like it, setting up additional products that your customers can book, or perhaps you would like a second or alternative reservation dialogue for your customers compared to the one that is now set up for your environment. Online payment based on Pay
What is included?
If you decide to purchase an i-Reserve license including the payment solution via Pay., you must request your own account with Pay. We cannot do that part for you. If you want us to take care of the required settings in i-Reserve, it is helpful to give i-Reserve support permission to use your Pay. details.
Your account with Pay.
To enable payments via Pay. in i-Reserve, you must first create a Pay. account via the link: https://signup.pay.nl/welcome?id=M-3985-6142.
Granting permission to support
Not mandatory, but very convenient: give i-Reserve support permission to use your Pay. details without being able to see financial data. This allows a support agent to access the API keys needed to configure the connection with your Pay. account in i-Reserve. How you can grant this permission, you can read here.
Test payment
To verify that the connection is configured correctly, we will create a test booking and a test payment. We also recommend that you always do this yourself before the module is switched from test mode to “full processing” and you can receive live payments.
Do you want to activate and configure Pay. for your i-Reserve environment yourself? No problem! Follow the instructions in our manual and you will have it set up in no time.
Online payment – other providers
Would you like to use a payment provider other than Pay.? That is possible with this module! In addition to Pay., i-Reserve has integrations with Buckaroo, Cardgate, Ingenico, Mollie and Stripe. We configure the necessary settings in i-Reserve using the information you provide.
What do we need from you?
To configure a payment provider, you first create an account with the desired payment provider. Using the account details you provide, we then link your i-Reserve environment to your account. For example, think of the API key for the Mollie integration. In addition, there are general settings that can be configured to your wishes, such as the cost price per payment for this payment provider, the status a reservation should receive after a payment, and much more!

Invoice
After the implementation of this module, you are fully ready to create invoices in your i-Reserve environment. This implementation includes a template for automatically generating an invoice and a template for the email used to send it. In addition, we will together review items for which we need information from you, such as VAT rates.
Module settings
The invoicing module has many settings so that it can work exactly the way you want. Think, for example, of the format of the invoice number and at what point in the reservation process a (draft) invoice is created. You decide how you want this set up and we configure it for you.

SMS
After implementation of this module you can automatically send SMS messages to customers who make reservations. This implementation includes a few initial SMS templates that can be sent automatically.
SMS workflow
When using the SMS module, SMS messages can be sent manually, but of course it is much more convenient to have this run automatically. This is possible by configuring a workflow for sending SMS messages. You decide at which moments in the process SMS messages are sent and what their content is, and we configure this for you.

Export
The export module allows you to export reservation data to your accounting system. This way, you can process your income from reservations directly in your administration.
Export via file
For a number of accounting systems we have an export available with a specific file type. For example, in Accountview an XML file exported from i-Reserve can be imported. For this we configure a mapping and parameters based on your wishes.
Export via API connection
For a number of accounting systems, an API connection with i-Reserve is also available. This allows i-Reserve to be linked directly to the accounting system. This is possible, for example, with Exact Online and Moneybird. In these cases we configure the connection together with you, since settings also have to be adjusted and data must be obtained in your account with the accounting system in question.
What do we need from you?
When we implement the export module for you, we also need a number of things from you. Think, for example, of providing the authorization details for an API connection with, for instance, Exact Online and entering general ledger codes that match how your administration is structured.

Punch card
The punch card module can be used to allow customers to pay in advance for reservations. This can be for a certain number of reservations or for a certain amount of reservations. In this implementation, a number of punch cards are set up according to your wishes and a page is added to the environment where customers can purchase the punch cards.
What do we need from you?
We can only configure good punch cards when we know which punch cards you want to use! For example, think about the price of a punch card and whether a punch card is valid for a specific amount or a specific number of reservations.

Gift voucher
With the gift voucher module, gift vouchers can be created. These can be used by customers to pay for reservations. In this implementation we ensure that a number of gift voucher types and gift vouchers are created based on the wishes you have for them.
What do we need from you?
To be able to configure good gift vouchers, we would like to know which gift vouchers you want to use. Think not only of the price and validity period, but also of whether a gift voucher is reusable and what you want the gift voucher code to look like.

Subscription
Subscriptions can be managed in i-Reserve with the subscription module. In this implementation, the subscription module is configured and a number of subscription types are set up based on your wishes.

E-ticket
The E-ticket module can be used to generate admission tickets for reservations. These can be sent manually or automatically included in emails. The E-tickets can be scanned using our scanner app.
Implementation
In this implementation, email templates are configured for sending the E-tickets and these are added to your reservation process at a point that matches your requirements. In addition, we support you in configuring and using the scanner app.
Scanner app

CRM
The CRM module turns your i-Reserve environment into a CRM system! Various additional functionalities are added. Below you can find an explanation of a number of functionalities and what is implemented.
Companies
With the CRM module you can work with companies. Normally, i-Reserve only works with customers. With this module, these customers can be linked as contacts of a company. During the implementation we configure the settings for companies according to your wishes.
Tasks
With the CRM module you can use tasks. Tasks can be used, among other things, to keep track of tasks in the i-Reserve environment and assign them to employees. During the implementation, we create a number of task categories, groups and templates, as far as desired.

A view for this filter is also configured. The view determines which columns you see in the filter. These filters can also be scheduled, which means that at fixed times an email is sent with an Excel file containing the contents of the filter. Multiple filters can be configured. The estimate of 0.5 hour applies to configuring one filter.
