“Personal Information” refers to any information that you choose to submit to us that identifies you personally (e.g. name, email address, company name, phone number), and may include publicly available information such as registration in the Business Register (KvK).

Generally, you can visit Teqa websites and demo’s without providing any personal data. However, when you contact us (e.g. chat, contact form, sign up for i-Reserve or services such as demos/free trials), you are required to volunteer some personal information and we may collect navigational information.

Personal information may include

• Your name, email address, telephone number and place of residence
• Company information such as name, size, location and your role
• Publicly available information from third parties (e.g. business registration number, credit checks)
• Past transactional data

Other information may include

• Unique IDs such as cookies
• Internet Protocol address (IP address)
• Visitor interaction data (source URL, browser type, time on site, click behaviour, etc.)

• Direct interactions: demo/free trial accounts, contact forms, sales enquiries, transactions
• Publicly available / third parties: marketing opt-in lists, data aggregators, public records
• Automated interactions: cookies, log files, social media features, widgets

If we combine Other Information with Personal Information, we will treat the combined information in the same way that we are permitted to use and disclose Personal Information.

Third parties

Teqa partners with third party service providers (e.g. Google AdWords) to manage advertising on other sites. They may use cookies to collect information about your activities to provide relevant advertising. Within the EU you may opt out (note: this does not opt you out of being served adverts; you may receive generic ads).

Log files

We may collect IP address, ISP, date/time, source URL, browser type, time spent, and clickstream behaviour to administer websites and understand usage. We do not link this automatically-collected data to personally identifiable information.

Cookies

Cookies help navigation, remember settings/language preferences, store analytics, and improve user experience. We also use Google Analytics, which places cookies to evaluate use and provide services relating to website activity and internet usage.

Widgets and social media features

Links to social media (e.g. LinkedIn, Twitter, Facebook) may collect IP address and set cookies to function properly; interactions are governed by the provider’s privacy policy. The website may also host a “Live Help” widget requiring name, email address and question.

Teqa will share personal information with third parties only as described in this policy (e.g. storage facilities, payment processors, email service providers) and these parties are prohibited from using it for other purposes. We do not sell personal information to third parties.

Payment information

Payments are handled by payment processor intermediaries and are not stored by us. We store payment method information only when a customer authorises recurring payments in connection with a signed agreement; you have the right to withdraw this authority. We may share information for risk management and fraud prevention.

Service providers / hosting

i-Reserve SaaS hosting is offered within the Netherlands (EU). Environments store data physically in an independent datacentre owned/managed by Mihosnet B.V., authorised to process personal information as necessary to provide their service. Mihosnet holds ISO 9001 and ISO 27001 certifications and a Data Processing Agreement is in place.

External websites

Links to third party websites are governed by those sites’ own privacy policies; Teqa has no responsibility or liability for content/activities of linked sites.

What are your rights?

• Request removal from solicitation lists

• Oppose processing of personal information

Retention and deletion

We retain information as necessary and relevant for operations; after that it will be de-identified and/or disposed of securely. Closed account information may be retained to comply with law, prevent fraud, resolve disputes, enforce agreements, etc. (e.g. Dutch tax law retention of basic personal data for a minimum of 7 years). Marketing information is kept until you unsubscribe.

With regards to deletion, records/system logs or server backups associated with your account may be kept for up to 30 days following deletion.

Teqa uses a range of security technologies and processes to protect Personal Information from loss, misuse and unauthorised access, disclosure, alteration and destruction. Accounts are password protected; users must keep credentials secure. Standard security protocols such as SSL encryption are used for transmission of sensitive Personal Information.

Personal data is stored within the EU; servers are housed in an independent data centre in a secure and controlled environment. The sub-processor is ISO27001 and ISO9001 certified.

Intellectual property

The website(s) of Teqa / i-Reserve are the property of Teqa B.V. (KvK number: 30167523, VAT number: NL815804994B01). Materials may not be copied or distributed without prior written consent.

Dispute resolution

If you believe information we process on you is incorrect, you can contact Teqa to request access/correction/deletion. Teqa has 30 days to respond and cannot charge you unless requests are unfounded/excessive/repetitive. If you wish to raise a complaint: privacy@teqa.eu. If you are not satisfied, you can contact the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

Privacy policy updates

Updated on an ongoing basis as necessary; formal review annually. Material changes reducing rights/obligations will be posted online. Updates are effective immediately as of the date at the bottom of the document.

• To provide services and fix issues: support, consulting, compliance confirmation, testing/applying versions, patches, updates, upgrades, monitoring performance, resolving bugs/issues.
• Legal requirements: where required to store or provide access to comply with legally mandated reporting, disclosure or other legal processes.

Clients should distinguish between security measures Teqa implements for i-Reserve and its infrastructure, and measures clients need to implement to protect their own data and comply with applicable privacy/security laws.

i-Reserve is provided with flexibility in configuration, security and deployment; options like secure logins, anonymising personal data, and end-user rights to view/change/delete information may be configurable by clients according to their requirements.

Teqa will retain information processed on behalf of clients as long as needed to provide services or to comply with obligations and agreements.

Outside of i-Reserve, clients may collect personal information via cookies and other technologies; clients should ensure compliance with applicable laws including notice/consent requirements.

Teqa’s access to services data is based on job role/responsibility. Services data on Teqa hosted systems is controlled via an access control list (ACL) mechanism and a user account management framework.

Since clients control the type/purpose/access to the data they collect, end-users should direct requests related to their personal information to the client directly. Information submitted to the applications is subject to clients’ privacy policies.
